Courses get offered in sets. If you have a Lifeguard Certification course, for example, you may have a Summer Certification Set that takes place from June-July. Each set is made up of a given number of sessions that are created based on the number of sessions that the course has on its overview section.
In this section we will cover -
After entering a Course Name and Course Description, you'll want to set rescheduling to Strict (1), set the number of sessions to complete the course to 5 (2), set the duration of each session to 1 hour (3) and set the price of this course to $100 (4). You'll then click on the green Save Course button to create the course -
You will get taken to a page that is divided into 2 sections - Set Details and Set Sessions. For the Set Details section, you can name this set "August Set" (1), assign Staff 1 to lead the course set (2), select the Atlanta, GA location as where the set will take place (3) and set the maximum number of people who can register for this set to 5 (4) -
Within the Set Details section you will see 2 options to generate the sessions dates -
Individually - If your sessions meet on a non-repeating basis, select this option.
On a repeating basis - If your sessions meet on a regular basis, like for example every Monday at 3 PM, select this option.
Since the sessions for the August Set you're adding will take place on repeating basis, you'll want to select the "On a repeating basis" option (1), then choose the repeating frequency on which the sessions should meet (2) & (3), you'll select the days of the week that the sessions should take place (4), select the date that you want this set to start (5), set the time that you want the sessions in this set to begin (6) and finally you'll want to click on the blue Generate Preview of Set Sessions button -
After you've clicked to Generate Preview of Set Sessions, a preview of all the sessions in this course set will appear below. From this preview you can still make changes to the sessions' dates, start and end times, as well as assign a room number to each session, and then when everything looks the way you want it click on the green Save Set button -
After the course set has been saved, it will get added to your list of Open Scheduled Sets. You can later click on the "+" button to the left of the Set Name to view the sessions within the set and make changes if necessary -
If you need to create a course set that has its session dates & times filled in individually, you'll need to set the dates and times on an individual basis.
Once the Edit button has been clicked, the page will go into edit mode where you can edit any of the course set details and will also see a list of all the scheduled sessions within the set -
If you want to change any of the details for a session within the set, you'll want to click on the blue Edit button under that session name -
Once you've made the necessary changes to the session(s), you'll need to click on the green Save button that has appeared under the session name -
Once all of the changes have been made, you'll need to click on 1 of the green Save Set buttons -
Alternatively, if you want to make changes to any of the sessions within a set, you can click on the button to the left of the set name to display a list of all the sessions -
Once the list of sessions expands, click the edit button next to the session you want to edit -
Once the Edit button has been clicked on, the Edit Class Session window will appear where you can make changes to the date when the session will take place, the start & end times, location & location group, staff, classroom number and capacity. You'll need to click on the green Save Individual Session button once the changes have been made -
When a client registers for a course set, they will get added as an attendee to every session within the set they have selected -
To see an overview of a course set, go to any of the individual sessions and click on the blue View Set link next to the Set Name -
Once on the course set details page, you can edit the set (1), cancel the set (2), see a list of the sessions in the set (3) and see a list of all the set attendees (4) -
You can also add a client to a course set from the Backoffice. To do so, while on the Appointments page you'll need to click on the green Add Appointment button and then select the Add One Time Appointment from the dropdown menu that appears -
After selecting the appropriate course in the Service & Class field, you can select the course set that you want to add the client to. Notice that in the "Sessions in Set" section you will see a preview of the sessions within the chosen course set -
Alternatively, you can add a client to a course set or an individual session within the set by going to the Calendar view, selecting on any of the set sessions, and then clicking on the blue Add Attendee button -
Doing so will pull up the Add Attendee to Session window, where you can search for an existing client or choose to add a new client. Once the client has selected, you'll want to click on the Add Client to Session button -
You will then be given the option to add the client only to the individual session or to the entire course set -
