Now that we've covered how to create and manage packages, we'll go over how clients can purchase and redeem them in the Client Scheduler.
In this page we'll cover the following topics -
Allowing Clients to Purchase Packages
Before we can allow clients to purchase packages we must enable the "Store" portion of the scheduler - to accomplish this we start by going to Settings > Mini Website Design > Color Scheme & Styling -
Scroll down until you locate the "Store" category, check the "Enable" box in the "Style Properties" section and scroll to the top of the page and click on the green Save button -
We have enabled the Packages store for clients so that when they visit your scheduler they will see a Packages tab near the top of the Client Scheduler -
In order for clients to be able to purchase and redeem packages, they must first register for a client profile.
For this example we'll assume that our business offers kickboxing classes as private sessions. We created 2 different packages, 1 for each type of appointment that can be booked. When clients go to our Client Scheduler and click on the Packages tab near the top, they will see the 2 packages we created that can be added to the client's shopping cart -
Packages will show the following information in your store -
Package Name
Number of Appointments in Package
Price
Package Image (optional)
Package Name
Services & Classes Included in Package
Expiration
Clients may purchase 1 or multiple packages - when they decide on which package(s) they want to purchase and click the Add to Cart button below the package card, the packages will automatically get added to the cart -
When they go to their shopping cart, clients will see the packages they have selected listed on the left side of the page, and will be given the opportunity to change the quantity of packages they want to purchase or even click on the Remove link to remove the package from the cart -
While the left portion of the screen displays the packages the client added to the cart, the right portion of the screen will display the Order Summary. In this section clients will see the following -
Subtotal
Apply Discount
Tax
Transaction Fee
Total
To begin the checkout process the client must click on the Continue to Checkout button at the bottom of the Order Summary section -
After the Continue to Checkout button has been clicked the Login window will appear - here clients will have to option to enter their email and password to continue the checkout process or to register for a client profile if they're a new client. For this example, we'll assume that the client purchasing the packages is an existing client -
After the client logs in, they will get redirected to the Invoice Detail panel where they will see a summary of the charges and have the option to pay and download their invoice. To continue to the next step of the checkout process the client must click on the Pay Now button -
They will get taken to the Enter Card Information panel, where they will enter their credit card information, optionally save the card for future payments and click on the Pay button to purchase their packages -
After the payment has been processed, the client will get taken to the Invoice Detail panel where the invoice status will now appear as "Closed: Paid". The client will now once again have the option to download a copy of the invoice for their records -
The client can choose to view the packages they just purchased by going to the My Account tab in the navigation menu at the top of the page and then clicking on My Profile -
Once in their profile, they can click on the View dropdown and select Packages -
From the Packages view the client will see a list of all the packages they have purchased along with some relevant info about those packages.
How Clients Redeem Packages through the Scheduler
For an Individual Appointment
In this section we'll cover how clients can redeem packages when scheduling 1 or more appointments. In this example we've added a brief note in the Welcome Message (Settings > Mini Website > Greetings & Login > Welcome Message) where we ask clients who have purchased packages to log in to the scheduler before booking an appointment -
In this example our client Olivia has purchased 2 packages, 1 for private kickboxing sessions and another for semi private kickboxing sessions -
The client has chosen to schedule 1 Private Session, and this appointment requires payment at the time of booking. After selecting the date and time of the appointment, the client will need to click on the Save button on the Your Information panel to begin the checkout process -
From the Pay Now panel they get taken to the client will need to click on the Pay Now button -
The client will then be redirected to the Invoice Detail panel, where they'll have to click on the Redeem with Package link to apply the corresponding package to pay for their appointment -
When the Select Package window pops up they will have the option to select the package they would like to redeem. Only packages that are applicable based on the service selected and that have remaining unused sessions will be displayed. After the client selects the package they want to redeem, they'll need to click on the Select Package button -
Finally, the client will have to confirm that they want to apply this package to the appointment they are booking -
Once the client applies the package, it cannot be removed unless they contact you or your staff and you take action in the Backoffice.
After the package has been applied to the appointment, the status of the invoice will change to "Closed: Paid" and the balance will be set to $0.00 -
If the client wants to confirm that the package was applied successfully or just wants to use the appointments that were redeemed with the package, they can head over to My Account > My Profile > Packages on the scheduler, where they can click on the + button to left of the package name to expand the details and see which appointments were redeemed with the package -
When you locate the client's appointment in the Backoffice, you'll notice in the Package dropdown that their package has been applied to the appointment -
You can also find the package information and the appointments that were redeemed with it while on the Packages tab on the client's profile by clicking on the + button next to the package -
Before the package is applied, the appointment will have the status "Open - Pending" because payment is required for this service at the time of booking. After the package is applied by the client, the status of the appointment gets changed to Open.
Cancelling an appointment will remove the package from the appointment. Appointments marked as No Show will keep the package applied.
For Multiple Appointments
Next, we'll cover how clients can redeem multiple appointments with a package at the time of booking. In the following example we'll assume that we offer kickboxing classes in a repeating schedule, and we allow clients to schedule multiple appointments at a time. Our client Olivia purchased a package for 10 semi private sessions and she wants to schedule her classes and then pay for them by redeeming the appointments from her package.
In this case Olivia has selected 5 class sessions, and they show with their details listed on the Your Information panel on the scheduler -
After she clicks on the Save button on this panel and then clicks on the Pay Now button on the Pay Now panel, she'll get redirected to the Invoice Detail page. On this panel Olivia can choose which appointments she wants to redeem with her package by clicking on the Redeem with Package link next to each appointment -
After the client redeems each appointment booked with her package, the options to redeem are removed and the balance updates to reflect the new total owed -
The client can now go to My Account > My Profile > Packages on your Client Scheduler to see an overview of the appointments that were redeemed with the package -
