On the Add Package(s) window that pops up we will select the "10 private sessions for the price of 9" package and then click on the green Add Package button -
From the Payments & Invoices tab on Antonio's profile we can add the package to an invoice by selecting which packages should be added by checking the box to the left of the package, clicking on the Create from Selected dropdown and then selecting Invoice -
After selecting Invoice, we will get taken to the Invoice Detail page where we see that a new invoice has been created containing the package that the client purchased -
You can then charge the client using the payment portal you have set up by clicking on the green Charge with Payment Gateway button (1) or record a payment on this invoice manually by clicking on the Record a Payment button -
You will also be able to email the invoice to the client and ask them to submit payment via your payment gateway by clicking on the More Actions dropdown and selecting Email Invoice -
Once payment has been submitted or recorded, the status of the invoice will change to Closed - Paid -
First, we will cover how to redeem a package when adding an appointment for a client in the Backoffice. To do this we will need to go to Add Appointment > Add One Time Appointment -
When adding this new appointment we need to keep in mind that the package will only apply to appointments for services that the package is set to apply to. In this case, client Antonio Calamari purchased a package for 10 private sessions, so the appointment we add should be for a Private Session -
After we have selected a time, date and the appropriate service for the appointment we will click on the green Save Appointment button seen indicated by the red arrow in the previous image.
In the Save New Appointment window that pops up we will have the option to select a package from the Package dropdown. If the client has purchased multiple packages only those that can be redeemed for the service of the appointment being added will appear in this dropdown -
The dropdown will show how many appointments from the package have been redeemed and the total number of appointments in the package. In the example above, we can see that 0 out of 10 appointments have been redeemed in this package.
After the package has been selected, click on the green Save Appointment button to book the appointment -
We will then be taken to the Appointment Details page where we can see that the selected package now says 1/10 after Used -
If you do not want to redeem the package in this appointment, hover your cursor over the Package field and click on the Edit button -
With the package field in edit mode, select the No Package Applied option and click on the green save button -
You can also apply a package to an appointment while adding it using the Quick Add feature. Click anywhere on the Calendar view where you want to add an appointment for a client who has purchased a package. Select the client and the appropriate service for the package you plan on charging -
After you click on the green Save button to add this appointment, the Save New Appointment window will pop up. Here you can choose to redeem the appointment from the client's package -
Now we will go over how to a redeem a package for an appointment that the client scheduled themself. In the Backoffice, go to the profile of the appointment the client booked and hover your mouse over the package field and click on the blue edit button -
If the client has any remaining appointments to be redeemed in the package they bought, that package will be listed in the dropdown -
Once the package has been selected, click on the green save button. The number of redeemed appointments may not be updated immediately, but if you refresh your browser or simply wait for a short while you will see that the number of redeemed appointments has changed in the Package field -
There may be occasions when a client has redeemed all of the appointments on their package and you will want to have the option to redeem an appointment from a package belonging to another client. For the following example, we'll assume that Antonio Calamari bought the package "10 private sessions for the price of 9" and has redeemed all of the appointments. Antonio's wife Olivia Calamari also purchased the package "10 private sessions for the price 9," and now she would like to allow Antonio to use 1 of the appointments in her package so he can attend 1 more private session.
We will begin by adding an appointment for Antonio Calamari. We will first click on a timeslot on the calendar and use the Quick Add option -
After we have clicked on the green Save button, the Save New Appointment window will appear. In the Package dropdown the only option for a package we can select is the package that is already closed, so we can click on the Select package from a different client link to redeem 1 of the appointments from his wife's package and apply it to this appointment -
Once we click on the link, the Search Clients to Apply a Different Package window will pop up. On this window we will search for Olivia Calamari and select the package "10 private sessions for the price of 9" and click on the green Add Package button -
After the window closes we will be brought back to the Save New Appointment window, and Olivia's package will be selected in the Package field. We can then click on the green Save Appointment button to add the appointment to the calendar -
This will in turn deduct 1 appointment from Olivia's private sessions package -
