Now that you have created some custom booking sites for your account, you'll want to share them with your clients.
This help doc covers -
Where to Find the Booking Site Link
To locate the link to a custom booking site, you'll need to go to Settings > Custom Booking Sites -
You can find the URL under the Webhandle column. You can also find the booking site's URL in the Webhandle field on the booking site profile -
How to Email Your Clients a Link to a Booking Site
When the time comes to invite your clients to book an appointment from your custom booking site, we recommend creating an invitation template specifically for this purpose. A different help doc covers how to do this in more detail, but I will briefly show you how to do this here.
For this example, let's say that I have created a custom booking site for Staff 1. Staff 1 offers appointments at 2 locations - at your Tutoring Center and over Skype - and the booking site we created earlier is intended for clients to book appointments at the Tutoring Center for Chemistry Tutoring appointments.
To create an invitation template for this custom booking site, you'll need to go to Messaging > Invitation Templates > Add New Template > Email to Clients -
The first thing you'll want to do is give the new template a Template Name and then click on the green Save button -
In the body of the email you can include the %REASON%, %STAFF_FULLNAME%, and %LOCATION_NAME% email tags along with the link to your custom booking site so that clients can book their chemistry tutoring sessions. When you send this template to clients, there will be an option to populate the tags with the specific selections. Once you are satisfied, click on the green Save button -
Invitation Reminder Templates
After you have created your invitation template, you can create a reminder template to further encourage bookings. This template will be sent to the client after a certain amount of time if the action requested in the invitation template is not fulfilled. To create an invitation reminder template, you'll need to go to Messaging > Invitation Templates > Add New Template > Email to Clients -
Again, the first thing you'll need to do is give the template a name and then click on the green Save button -
After the reminder email is composed, you'll need to click on the green Save button -
The final step for distributing the link for a booking site is to actually email it to your clients. To do this, you'll need to go to the Clients page and check the boxes next to the clients who you want to email the invitation email to and then click on the blue Send Email/Text Message button -
This will cause the Send Email/Text Widow window to pop up, where you'll need to select the appropriate invitation template and then enter the appointment details so that the email tags you added to the template will populate the correct info -
And if you created an invitation reminder template, you'll want to check the box next to Send Reminder, set the number of hours after the initial invitation template got sent that you want to send the reminder template and select the appropriate reminder template.
Once you have clicked on the green Select Template button, a preview of the email you're going to send will appear in a new window. You'll need to click on the green Send Email button to send the email to the client -
When the client receives the invitation email, they'll notice that the %REASON%, %STAFF_FULLNAME% and %LOCATION_NAME% email tags got filled in with the selections you made while sending the email -
