Having a general understanding of the different parts of TimeTap and how they interact will allow you to set up your account as efficiently as possible.
Let's start with some basic questions about your appointments and connect how these relate to TimeTap.
Where
Where do your appointments take place? Locations
TimeTap has 3 different types of location profiles that you can setup -
- Physical - A physical address where clients come to you for their appointments.
- Virtual - A meeting space like a phone call or Zoom for virtual appointments.
- Variable - Appointments that take place at an address that is provided by your clients at the time of booking.
Who
Who is the appointment booked with? Staff
Every appointment in TimeTap needs to have a staff member that it gets scheduled with.
Who is the appointment booked for? Clients
Clients refers to the people who have either scheduled an appointment with you or who you have created an appointment for.
What
What is the reason for the appointment? Services, Classes or Courses
TimeTap has three different reason types that you can create -
- Services - 1-on-1 appointments between a staff person and the client.
- Classes - Group-based appointments between a staff person and multiple attendees.
- Courses - Multi-day appointments between a staff person and multiple attendees.
When
When are you available to take appointments? Availability
Appointments can only be scheduled during the times when you've told TimeTap that you're available.
Availability is set in 2 different ways, depending on whether you're offering a service or a class/course.
Availability for Services
Appointments for Services can only be booked during the hours that you have set on the Service Availability page of your staff profile.
So if you are set to offer availability from 8 AM - 5 PM on Mondays, then a client can schedule their service appointment for any time within that range depending on what works best for them.
Availability for Classes/Courses
Clients can only book appointments for Classes and Courses during the dates and times when sessions have been added to the class/course schedules.
Availability for Classes and Courses are not set by your Service Availability, so sessions must be added for those options to be available for booking.
How
How are appointments scheduled? Client Scheduler or Backoffice
TimeTap has two ways appointments can be scheduled with you -
- Client Scheduler - This is the platform that your clients will use when visiting your booking link to schedule their own appointments and access their client profiles.
Backoffice - This is the platform where staff can log in to add appointments on behalf of clients. The Backoffice is also where staff can access their profiles to set availability, manage their appointment calendar and view the client list.
