When creating custom fields in TimeTap, it's important to understand where those fields will appear and how the data you collect will be stored. This help doc explains the key differences between fields assigned to the Client Profile versus those assigned to the Appointment Detail, and where each type of field will appear.
The Assign To value for a custom field can’t be changed after the field is created, so it’s important to select the correct option from the start. If data has already been collected using a field with the wrong setting, you’ll need to create a new field with the correct Assign To value. Data can't be transferred between fields, so any submissions tied to the original field would be lost.
Client Profile Fields
Client Profile fields collect information about the client themselves. Info in these fields usually stays the same between their appointments.
Examples:
Name
Date of Birth
Phone Number
Address
Where They Appear
Fields assigned to the Client Profile are shown when creating a new client from the Backoffice or when a new client registers on your booking site.
Client Profile fields will also appear on the Your Information page if a client is booking an appointment and is not logged into their scheduler profile.
Once completed, these fields are stored on the client's record and reused for future bookings.
Some client info fields are also displayed on the Appointment Detail section.
You can edit which client info fields show on the Appointment Detail page by going to Appointments > Configurations > Account Level Calendar and Appointment View Defaults > Client Fields to Show in Appointment Detail.
Appointment Detail Fields
Appointment Detail fields collect information specific to a single appointment. Info in these fields are values that may change each time the client books, so these fields are always prompted when scheduling new appointments.
Examples:
Comments
Reason for visit
Symptoms or concerns
Preferred discussion topics
Where They Appear
Fields assigned to the Appointment Detail are prompted on the Your Information page of the booking site flow for clients and on the final Save New Appointment panel when creating appointments through the Backoffice.
Once completed, these fields and completed info can be viewed on the appointment detail page for that appointment.
