Access to bulk email functionality needed to send invitation templates is enabled by request only. Please reach out to our support team to request access to this functionality for your account.
You can email invitation templates directly to clients either in bulk from the Clients page or individually from with a specific client's profile or appointment detail page.
By going to the client list and selecting the clients you'd like to email, you can send an email blast out in mass. You can also navigate to the client's profile and send out an email directly to the client (this is for more individual emailing).
This help doc covers:
- Emailing clients in bulk from the client list
- Emailing a client individually from their client profile
In some instances, you may also need to use an invitation to send a message for specific appointments that isn't covered by the existing appointment-related templates. If you'd like to email clients who have appointments in a certain date range using invitation templates, check out our this help doc on Emailing Clients from the Appointment List.
Emailing clients in bulk from the client list
If you want to send out an email blast to your client list, you can do so from your Clients list view.
After selecting one or more clients from the Clients list using the lefthand checkboxes, a banner will appear confirming those selections.
You can only email clients in bulk through the client list at up to 400 clients at a time. If you need to email more clients than that, those would need to be sent in separate batches.
Select the Send Email/Text Message button to bring up the panel where the specific invitation template can be chosen. The templates that display on the select template dropdown are the templates stored under Messaging > Invitation Templates.
If you're using the Invitation Campaigns feature to invite clients to book appointments, then you should also ensure to select the correct Location, Staff, and Service or Class options before proceeding, as those selections populate the options shown on the booking link included in that invitation.
Additionally, since invitation templates aren't sent in relation to a specific appointment, these selections also allow you to dynamically populate that information in the template if you're also including the Location, Staff, or Reason tag in that selected template. If you're not including any of those tags, then these additional drop downs beyond Select Template can be disregarded and won't impact the invitation template being sent.
Once you confirm those options, choose the Select Template button to see a preview of the email you're going to send out. Since you are sending this email out to multiple clients at once, the merge fields will display as tags (the % sign things). Once the email is sent, they will merge with the specific values stored on your account for each client.
Make any final changes on this panel and then select Send Email when you're ready to issue that messaging.
After you've sent the email, you can see the message that was sent out from the Messaging view of any of the client profiles you sent it to:
Emailing a client individually from their client profile
You can also send an email to an individual client using the Send Email button in the top left of their client profile. After selecting the Send Email button, the panel to select the invitation template and associated Location, Staff, and Service or Class info (if applicable for the template) will appear.
The templates that display on the select template dropdown are the templates stored under Messaging > Invitation Templates. You can add templates to this section to have additional templates to choose from.

Select the Send Email button once you're ready to send the message.
