Appointments can be added to your schedule either by a staff member through TimeTap’s Backoffice or by your clients from your Client Scheduler.

These methods are for staff using the Backoffice. Clients can book their own appointments through your scheduler, which is accessible via our mini website or embedded on your website.
Using the Add Appointment button
To add a new appointment, you'll need to click on the green Add Appointment button on the Appointments tab and then select either Add One Time Appointment or Add Repeating Appointments -

Using the Appointment Quick Add
You can also add a one-time appointment by clicking on a blank spot on your calendar -
- Go to the Appointments tab and select the Calendar view.
- Find the desired open date and time, and click on it -
- The Quick Add panel will pop up set to the selected time and date -
- Double-clicking on a time slot will pre-fill these details and take you to the Add New Appointment page, where you can further adjust the appointment start and end times if needed -
Double clicking on the calendar can only be used for adding one time appointments. To add a repeating appointment, you'll need to use the Add Repeating Appointments button on the Appointments page.
Adding a Client as a Class Attendee
To add a client to a class session directly from the Calendar:
- Go to Appointments > Calendar and click on a class session -
- In the pop up window that appears, click on the blue Add Attendee button -
- Search for an existing client or add a new client -
- Review your attendee list and then click on the Add Client(s) to Session button.

After adding the client, you can send email notifications, add notes, set reminders, and fill out any necessary fields. Then click on the green Save Appointment button to complete the process -
If you add more then 1 client at one time, you will not see the option to edit the email confirmation before sending it to the client.

After the client has been added, the total number of attendees will get updated on the class session -
Adding Attendees from the Class Session Details Page
Double clicking on a session on your calendar view will take you to the Class Session Details page -
Here you'll see all the session details at the top, with any registered clients listed in the table at the bottom. You can also add a client as an attendee to the class session from this page by clicking on the blue Add Attendee button at the top of the Attendees for Class Session section.
