Appointment Intents is an Enterprise-only feature that makes it easy to allow your clients to book a service appointment within a defined time frame. The intent allows you to set a start date and end date for the period that the appointment must be booked in, an expiration date and an external reference ID that can be used for tracking purposes.
At the moment, this is an API-only feature that has limited visibility in the Backoffice. If you are an Enterprise user and you see a need for our appointment intents feature, please reach out to our support team at support@timetap.com for more information!
As an example of a situation when this would be useful, let's say that I am an administrator at an insurance company and we require meetings to take place within 60 days after a new claim gets filed. When the claim gets filed, we create a new appointment intent with a start date of that day and an end date 60 days in the future. This ensures that the client schedules their claim meeting within the appropriate time frame.
In this help doc we'll cover -
Setting Up Appointment Intents
In order to set up appointment intents for your account, you'll need to navigate to Settings > Scheduler Rules & Logic > check the box next to either Select Appointment Intent or Require Appointment Intent -
These 2 check boxes are independent of each other -
- Select Appointment Intent allows the client to select which appointment intent they are booking under.
- Require Appointment Intent only allows appointments that are linked to an appointment intent to be booked.
If you have the Select Appointment Intent box unchecked and you have the Require Appointment Intent box checked, the system will automatically assign the appointment intent that corresponds to the date selected for the appointment.
An appointment intent requirement can also be set at both the service level and the custom booking site level.
Tandem services and Appointment intent required services cannot both be assigned to the same booking site. They do not work together.
Service Configuration
To turn appointment intents on for a service, on the Service profile you will need to check the box next to Require Appointment Intent at the bottom of the Overview section -
Custom Booking Site Configuration
To turn appointment intents on for a custom booking site, you'll need to go to the Customizations tab on the custom booking site profile and check the box next to Require Appointment Intent at the bottom of the page -
Client Perspective
Client must log in to the scheduler to view and use their appointment intents while booking an appointment.
Your clients will be able to view their appointment intents by logging into the Client Scheduler and selecting the View Appointment Intents tab -
