Syncing multiple calendars is helpful if you have more than 1 Google account where you would like to see your appointments booked in TimeTap or if you would like to have separate calendars for work and personal appointments.
From the staff profile, click on the Calendar Sync tab -
On the Calendar Sync page, you will see the account you are already syncing with. To add a sync with a new Google account, click on the Google icon -
If you are already logged into Google on your current browser session, TimeTap should auto detect the Google account you are logged in as. If you need to sync TimeTap with a different Google account, you should log out of Google before initiating the sync.
This will take you to the to the "Sign in with Google" page where you will be prompted to choose which Google Calendar you want to sync to your TimeTap calendar -
Once you have selected the Google Calendar you want to sync with, you will be taken to a page where you will get prompted to allow the TimeTap Calendar Sync access to your external calendar. You will need to click on the Continue button to allow this access -
Once you press Continue, you'll be taken back to TimeTap and your sync will start to run. The first sync typically takes about 30 minutes to complete. After that the calendars will update automatically about every 15-20 minutes.
In the Calendar Sync tab, you will now see the 2 Google Calendars you are syncing to -
You can verify that all your appointments are syncing by clicking on the Calendar tab on the Appointments page. In this case all the red boxes represent appointments created in the Google account I synced -
And if you go to each 1 of the Google Calendars you synced you will see your TimeTap appointments added! Now every time an appointment is added to TimeTap it will appear in your Google Calendar, and when an appointment is added to 1 of your Google Calendars it will appear in your TimeTap calendar.
Under the Calendar Sync tab, you will see the Google Calendars you are currently syncing with. From here you can determine from which calendar you want to stop downloading appointments from, but would like to continue uploading TimeTap appointments to, and then click on the blue Edit button next to it -
A new window will appear, and here you will be able to modify a few things before you finalize the Google sync process -
- This is the Google account this staff member has been granted access to.
- This is a list of all calendars associated with the Google account selected in step 1. These are typically other calendars created within your Google Calendar or calendars other people have shared with you.
- Check this box to upload all appointments set in TimeTap for this staff to the selected Google Calendar.
- Check off which reasons you want to sync up to the company Google Calendar (most of our users have all of them selected but you can pick and choose if you'd like).
- For service-based appointments only - This is the title of the TimeTap appointment once it appears as an appointment in Google Calendar. If you leave it blank, it will display the client's name, phone number and reason, or you can use our email tags to display information of your choice.
- For class-based appointments only - This is the title of the TimeTap class session once it appears as a class session in Google Calendar. If you leave it blank, it will display the client's name, phone number and reason, or you can use our email tags to display information of your choice.
- This is what displays as the event location once this event appears in Google Calendar. If you leave it blank, it will display the location name.
- For service-based appointments only - Once the TimeTap appointment gets added in the synced calendar, this is what would appear as the appointment's description. If you leave it blank, it will display the client's details and any custom fields information, or you can use our email tags to display information of your choice.
- For class-based appointments only - Once the TimeTap appointment gets added in the synced calendar, this is what would appear as the class session description. If you leave it blank, it will display the client's details and any custom fields information, or you can use our email tags to display information of your choice.
- Here you can set how long before the event start time you want your external calendar to remind you about the event.
- Check this box to download all appointments from the Google Calendar you've selected to the staff member's TimeTap calendar.
- Check this box to allow this user to download the appointment details from the Google Calendar you have granted access to.
In this example we will uncheck the box next to Downloading (11) but will keep the box checked next to Uploading (3), and to save these changes we will click on the green Update Sync Detail button. After saving the changes, every time an appointment gets added in TimeTap it will not appear but if an appointment gets added in your Google calendar it will not get added to your TimeTap calendar.
In the image below a new appointment was added in this Google Calendar but it does not appear in the TimeTap calendar. This is the view in the Google Calendar -
This is the view in the TimeTap calendar, where the red arrow is pointing to the area where the appointment I just created would be. Remember that at this point this account is still syncing with 2 Google accounts, but it is only downloading appointments from 1 of them -
